Terms & Conditions


1.     Payment & Refunds

1.1 For reasons of safety, places are restricted and applications will be accepted on a first come, first served basis. It should be noted that a block will be cancelled if there are insufficient applications three days prior to commencement of the block.

1.2 Any request to cancel a booking must be made at least 24 hours in advance of the block commencing. A 50% refund will be given if you cancel prior to the commencement of your third session. WD Leisure will not be responsible for any refunds after this time. Class fees are non-refundable where the participant has either missed a class or decided to withdraw from the programme altogether.

1.3 All fees must be paid in full prior to the participant starting the programme. A child will not be permitted to take part if fees are not paid.

1.4 The Coordinator/Coaches reserve the right to cancel or amend the arrangements for the programme. In the event of cancellation, participants will be issued with a full refund, and West Dunbartonshire Leisure will not be responsible for any further compensation. Please note refunds will only be processed if the number of advertised classes has not been provided by WD Leisure. In the event of a venue closure we will make every attempt to contact our customers as soon as possible.

2.     Liability

2.1 WD Leisure’s liability for injury to a member and/or damage or loss to member’s property is strictly limited to any injury, damage or loss suffered as a result of negligence of WD Leisure or its staff. With this exception WD Leisure will not accept liability for the safety of members and guests and their personal property brought into facilities.

3.     Parental Responsibilities

3.1 Parents/carers should accompany their children into the venue and are responsible for their safety before and after the sessions. If your child is not collected at the end of the session, we will attempt to contact you and the emergency contact. Please note that if we are unable to establish communication, we will follow our Child Protection Guidelines and the Police may be informed.

3.2 Parents/carers must ensure that contact and details and medical conditions are up to date. This is in the unlikely event of a medical emergency, building evacuation or other emergency situation. Children must be collected promptly at the end of a class.

3.3 You must refrain from bringing your child to class if they have had any form of illness within 48 hours of the class.

3.4 Parents/carers will be responsible for monitoring the participant’s physical condition throughout the programme and should any unusual symptom(s) occur they must immediately stop the participant from any further participation and inform the Coaches or Sports Development Coordinator of the nature of the symptom(s) experienced.

3.5 Parents/carers will confirm that the participant is in good health and suitable to take part in the programme.

3.6 Parents/carers are responsible for ensuring all details are disclosed accurately on the waiting list and at point of enrolment and will notify WD Leisure of any changes that have occurred.

3.7 Parents/carers and participants will comply with the rules relating to the use of all facilities and equipment.

4.     Coaching Policies & Procedures

4.1 All WD Leisure Coaches are qualified and have current PVG disclosure checks.

4.2 We reserve the right to appoint a new coach to a class at any time.

5        Participants

5.1  All children should wear appropriate clothing and footwear that is described in the class description.

5.2  Long hair should be tied back and all jewellery should be removed.

5.3  The participant agrees to abide by the rules laid down by the Sports Development Coordinator and Coaches. West Dunbartonshire Leisure reserves the right to remove from our programme, without refund, anyone who is found to be bullying, misbehaving or displaying disruptive behaviour.

6        Venue closures and cancelled gymnastics classes

6.1  In the event of a venue closure we will make every attempt to contact our customers as soon as possible.

6.2  Please note refunds will only be processed if the number of advertised classes has not been provided by WD Leisure.

7        Photographs & Videos

7.1  You must declare if you do not want your child to be photographed or filmed for marketing purposes and keep us up-to-date should this change using the email address sportsdevelopment@west-dunbarton.gov.uk.

8        Personal information

8.1  We will keep parents up to date with class and sports development information via email. By providing your email address you give consent for us to use it for this purpose.

8.2  There will be times when we are required to contact you via phone or text for essential matters. By providing your phone number you give consent for us to use it for this purpose.

8.3  You should be aware that if we are requested by the Police or Social Work to provide them with your personal information then we are obligated to do so

9        Changes to Terms & Conditions

9.1  We reserve the right to change these terms and conditions at any time. It is your responsibility to check that you agree to the changes each time that you book.


Gymnastics Subscriptions

1.     Gymnastics programme

1.1 Our gymnastics programme will deliver 38 classes from August - June. The price of the classes will be averaged over 10 monthly direct debit payments.

1.2 The duration of all of our classes is 60 minutes. 

1.3 All pre-school programmes will remain as block payments.

2.     Membership rates

2.1 First Pro-rata payments must be made at the time of application using Credit/Debit card.

2.2 Thereafter the monthly Subscription payments will commence. All subscriptions will continue to be collected on the 1st of each month until the member cancels in writing.

2.3  Payment will not be taken in July or August.

3.     General conditions of membership

3.1 Subscription membership fees are non-refundable.

3.2 The manager reserves the right to refuse any application for membership.

3.3 All Subscriptions are a legally binding contract between the member and the company.

3.4 WD Leisure will take the subscription from your registered debit card the 1st of each month.

3.5 WD Leisure reserves the right to review monthly membership fees on an annual basis. The member will be given one month’s notice of any proposed increase. This notice will be in the form of updated information on our website and email (if email correspondence has been requested).

4.     Cancellation of membership & refunds

4.1 Membership must be cancelled in writing via email.

4.2 Cancellations must be received 28 days in advance of the Subscription date. You will continue to be charged in full unless you cancel in writing within this time period.

4.3 A full refund will be given should you cancel your membership within 14 days of booking.

5.     Suspension of membership/missed classes

5.1 In the event of medical circumstances that stop a member using their membership for a period longer than one month, they may apply for a temporary suspension of their membership. This shall remain at the discretion of the Sports Development Coordinator. Suspension of membership will result in the withdrawal of the previously allocated class day and time. To restart classes, you should Sports Development to discuss the reallocation of a space within the programme.

6.     Gymnastics class payment

6.1 For any failed Subscriptions, WD Leisure reserves the right to restrict access to the classes until a suitable payment has been made. Failed payments are automatically tried again on the 4th, 7th and 9th of the month. If no contact with WD Leisure has been made within 14 days of non-payment then your child will be removed from their class and will have to join the waiting list if no spaces are available.

6.2 The monthly subscriptions remain the same for each calendar month and are calculated based on your child receiving 38 classes per year.

7.     Pupil progression

7.1 Upon a child becoming too old for a class, the parent/guardian should contact the Sports Development Coordinator to discuss availability of an appropriate class being available.

7.2 Due to the continuous progressive nature of our programme, we cannot guarantee a specific time slot on progression, as a space within the next age group may not always be immediately available.

8.     Gymnastics dress code & hygiene

8.1  All children should wear appropriate clothing for gymnastics activity. No crop tops are permitted.

8.2  Long hair should be tied back and all jewellery should be removed.

8.3  In the event of a child having a verruca on their foot, this should be covered by a sock or plaster.
